EVENT PRODUCER

Joe Mineo Creative is a nationally recognized and award-winning event design company. With every corporate event, wedding, and private party we create, plan, or manage, our team provides clients with a unique design, exceptional service, and a sophisticated presentation.

JOB OVERVIEW:

Joe Mineo Creative, an event design studio, is looking for a hard-working professional to work as an event producer within the office with duties as follows, but not limited to:

  • Co-manage a calendar of 25+ events yearly with another Senior Event Producer including social events, weddings, corporate events, birthday, and mitzvahs

  • Act as the liaison between the Creative Director and client relationships

  • Act as the liaison between Creative Director and prep and production team, with all updates and additions/ cancellations to each event

  • Act as the liaison between the clients, vendors and the graphic designer regarding any custom invitations, menus, dance floor wraps, escort boards and/or additional renderings

  • Manage each event worksheet including managing all changes/updates and then communicating all changes to the prep and production teams

  • Prepare and modify contracts through online contract systems

  • Keeping track of event finances including payment requests, invoicing, and recording to the accountant department

  • Assist with the scheduling of day-to-day business operations including scheduling client meetings, walkthrough, vendor meetings, and any additional appointments between Creative Director and team on the master calendar.

  • Create and edit layouts using a custom layout program.

  • Organize vendor relationships including ordering event rentals, coordinating delivery schedules, and managing ongoing relationships.

  • Attend all meeting with clients including storyboards, presentations, proto-types and walkthroughs

  • Intercept any issues that may arise for the event and communicate those with the clients and prep/production team.

  • Develop a master logistics schedule for the entire event including working with venues, clients and vendors

  • Work on location as the producer for each event, assisting with set-up and being the liaison between the client, venue and rental companies.  

  • Answering a multiple phone line system.

  • Provide consulting advice and etiquette to clients.

  • Booking of flights and conference trips as needed.

 

REQUIREMENTS:

  • 2+ years of experience in event management or hospitality

  • Bachelor’s Degree

  • Proven experience in managing multiple events successfully

  • Excellent organization skills and multitasking abilities

  • Experience in customer service and excellent client relations is preferred

  • Excellent verbal and written communication skills

  • Analytical thinker and ability to adapt to a fast-moving industry and company

  • Ability to work occasional weekends while on-site

  • Experience in working with a luxury brand is a plus, but not required

STAFF ACCOUNTANT

Joe Mineo Creative is a nationally recognized and award-winning event design company. With every corporate event, wedding, and private party we create, plan, or manage, our team provides clients with a unique design, exceptional service, and a sophisticated presentation.

We are hiring a hardworking, self-motivated team player who will fill the position of Staff Accountant, responsible for administrative and accounting tasks. This is a Full time position at 40 hours a week.


The Staff Accountant is responsible for assisting with day-to-day accounting activities, contracts, invoicing, and client reconciliation. Additionally, the Staff Accountant will provide clerical support to the Creative Director. This position reports directly to COO, Creative Director and Accounting firm.

Responsibilities:

  • Works closely and communicates with the COO and Creative Director.

  • Schedule, develop agenda, attend and type minutes for weekly meetings with COO and Creative Director, also executes to-do lists as dictated by meetings.

  • Maintain Event spreadsheet and perform reconciliation of job costs for all events.

  • Import all invoice, income, and expense data in the event software Curate and QuickBooks Desktop.

  • Job costing for all events 

  • Process credit card transactions.

  • Manage AP and attach documents within QuickBooks

  • Enter petty cash journal entries.

  • Collect, calculate, and enter timesheets by class.

  • Request COI’s, Subcontractor Agreement and W-9’s from vendors and maintain COI binder

  • Set up meeting to review 90-day goals with all employees

  • Order office supplies

  • Enter and submit monthly sales-tax confirmation report

  • File all invoices and receipts in event binders

  • Process sales tax exempt forms

  • Process e-checks and credit card payments

  • Manage Accounts Receivable

  • Open and process incoming mail

  • Follow all safety guidelines according to company policies and procedures.

 

Requirements:

  • Minimum of 3 years of administrative, accounting, and QuickBooks experience.

  • Proficient technological abilities to perform tasks with existing and new software programs.

  • Proficient with QuickBooks Desktop and Excel.

  • Ability to understand, read, write, and speak English.

  • Ability to think out of the box and problem-solve when needed.

  • Good verbal communication skills to communicate successfully with the team.

  • Ability to multitask and delegate when needed.

  • Must be 18 years old or older.
